Navigating the system interface
Who is this article for?
Users who need to understand how to navigate through the system.
No special access or permissions are required.
The software uses a multi-layered navigation system that adapts based on your licence type and permissions, ensuring you only see features you can use.
The navigation system is designed to be intuitive, so don't hesitate to explore. You can always return to familiar areas using the Home button or breadcrumb navigation!
Top bar navigation
The header bar runs across the top of your screen and provides access to all major sections of the system.
Home button
- Located on the far left of the header bar
- Always takes you back to your main dashboard
- Click this anytime you want to return to your starting point
Your Work menu
- Located next to the Home button
- Provides quick access to your current assignments and recently viewed items
- Contains My Tasks (items assigned to you that need action) and Recently Viewed (last 10 records you've opened)
- Use this to quickly return to items you were working on
Solution navigation
The Ideagen logo and product switcher in the top-right allows you to:
- Switch between products if you have access to multiple Ideagen applications
- Access help resources, contact support, view policies, and get assistance
- Manage your account settings and logout

Based on your licence and user type, you'll see different menus.
Modules (by licence)
Audit users
Audit users will see:
- Audit Planning - Plan and manage audit activities
- Universe - Locations and processes in your organisation
- Risk - Risk management features
- Action - Action items and tasks
- Incident - Incident reporting and management
- Questionnaire - Survey and assessment tools
- Reporting - Generate reports and analytics
- Administration - System management (if you have permissions)
Risk users
- Risk - Risk registers and assessments
- Universe - Organisational structure
- Action - Action management
- Incident - Incident handling
- Questionnaire - Risk questionnaires
- Reporting - Risk reports
- Administration - System settings
Business users
- Action - Task management
- Incident - Incident reporting
- Questionnaire - Available surveys
- Reporting - Basic reporting
- Administration - Limited admin access
Menus (by user type)
Administrator users
- See all available menus regardless of licence
- Additional Administration sections with user and system management
- Access to User Management and Licence Management tools (opens in new tabs)
Licensed users
- See menus based on your specific licence (Audit, Risk, Business)
- Access restricted to your assigned locations and permissions
- Administration menu may be limited or hidden
Business users
- Simplified menu with core business functions
- Focus on actions, incidents, and questionnaires
- Limited reporting capabilities
Sidebar navigation
When you're working within a specific module, a collapsible sidebar appears on the left side of your screen.
Sidebar features
- Collapse/Expand - Click the arrow button to hide or show the full sidebar
- Search - Many sidebars include a search box to filter content
- Hierarchical structure - Shows parent-child relationships (like location trees)
- Quick navigation - Jump between related sections without using the main menu
Common sidebar sections
- Home item - Returns you to the main view of that module
- Primary lists - Main data registers (Audits, Risks, Actions, etc.)
- Planning views - Different ways to organise your work
- Filters - Include/exclude archived items
Breadcrumb navigation
Breadcrumbs appear at the top of individual records and show you exactly where you are in the system hierarchy.
To use breadcrumb navigation, click the hyperlinked level to jump to it.

Searching
Global navigation search
The global navigation search is available in module sidebars and searches titles, codes, and descriptions. It automatically expands parent items when matches are found.
Use this feature for finding specific locations, processes, or records.
Item search
To locate specific items:
- Use sidebar search when available.
- Navigate through hierarchies using the tree structure.
- Follow breadcrumbs to understand context.
- Check Recently Viewed for items you've opened before.
